i. What steps should be taken for good listening?

Ans:

There are many steps for effective listening like

  • Face the speaker and maintain eye contact.
  • Be attentive, but relaxed
  • Keep an open mind.
  • Listen to the words and try to picture what the speaker is saying.
  • Wait for the speaker to pause to ask clarifying questions
  • Watch for non verbal communication

ii. How is clarity achieved in business correspondence?

Ans:

The clarity in business correspondence can be achieved by many means Clarity demands the right use of language and proper pucnctuation to make the writing clear.

Step 1: Buy a book. Just looking through this book will remind you of how easy it is to write with clarity

Step 2: Minimize your use of the passive voice. Using the passive voice in your sentences reduces clarity because it leaves questions in the reader's mind

Step 3: Minimize negations. The way the mind works, it is harder to read a negated sentence than to read a sentence that is positively framed. Phrases with double negatives are particularly hard to parse

Step 4: Be specific. Business writing should be clear and concise. You state your case, even in a letter, and then you let the reader get on with his or her day

Step 5: Do a grammar check. Run a grammar check on your letter before you send it out. It doesn't take long and it will pick up a lot of the mistakes that reduce clarity in business letters.

The sender should be careful of the following points else would be misinterpreted in reader’s mind

iii. Write short note on medium with example

Ans:

Medium refers to a channel or system of communication. The means of transmitting information between a speaker or writer and an audience. For instance, in written communication, a newspaper or book could be a channel; in oral communication, a microphone or a telephone can be the channel of communication.

When deciding which of the communication mediums would be best for your message, you should take into consideration...

The Purpose of the Communication

  • The Type of Information
  • The purpose of communication.

It's critical to realize that whenever you are communicating with a project stakeholder that the medium you use to communicate your message is just as important as the message itself. If you use the wrong medium, your message may never get through to the receiver or may be misunderstood.

iv. Draw the layout of semiblock form. State the punctuation applied in it.

Ans:

The semi-block format business letter is a little less formal than the block format letter and slightly more formal than the modified block format letter Semi-block is similar to block but has a more informal appearance. All elements are left-aligned, except for the beginning of each paragraph, which is indented five spaces. Paragraphs are separated by a double line space.

This semi-block business letter format looks very much like the block letter format, except the

Notice that the sender’s address is left aligned and the closing, the signature, and the signature block are right justified.

.If you have any enclosures to include in this letter, make a note at the bottom left, a few spaces below

The signature block. Just write “enclosures:” and follow up with the names of any items inside the envelope. A brochure, an application, or a copy of an invoice are some of the things you might think about including.
